Hi,

can a user receive a report listing sent messages that were blocked by Xeams ? Ussers doesn't have visibility if a message was sent or not, because Xeam's reports show only received messages.

Only as an administrator user I have this information.

I really appreciate the help.

There are 4 categories of messages:

  • Good or Possible Spam. These messages are forwarded to the user's inbox by Xeams. Albeit with a modified subject in case of Possible Spam.
  • Quarantined Spam Messages. These messages are quarantined by Xeams and are not forwarded to the user's Inbox. A Quarantine report is sent at least once a day and contains information about these messages with the ability for users to restore them.
  • Deleted messages. These are spam emails that get a score higher than the deletion threshold. Go to Filter Management/Score Configuration to adjust the value for this field. Emails that score higher than this value are considered so bad that there is no point in even putting them in quarantine. A log entry is created in DeletedEmails.log when such a message is encountered. Check https://xeams.com/xeams-log-files.htm for information about logging.
  • Rejected messages. These are messages that are rejected by Xeams for several reasons: for example invalid recipients, large attachments, invalid domain, or network errors. In such cases, the sender's SMTP server will either retry sending the message or will generate an NDR.

I assume you are referring to the Quarantined Spam Messages, correct? Do you have the quarantine reports enabled?

Hello, first thanks for the feedback.
Yes, I am talking about quarantined spam messages. We have quarantine reports enabled for users. Our users can only see, both through the report and by accessing the Xeams web interface, the quarantined messages received. However, messages sent by them to other recipients, when blocked because they fall under a rule, are not displayed. In such cases, they have no visibility that the message has been retained in Xeams. We, administrators, always need to verify that the messages they sent passed through the antispam without problems or were retained. If the report also included the messages sent, our problems would be reduced. Does the report also display sent messages that have been quarantined? Or just received messages? Thank you again for your attention to my question.

The quarantine report does not contain outbound emails. That is because outbound emails should not be blocked by Xeams. One of two characters should be true for every outbound email:

  • SMTP Authentication is used
  • Email is received from a trusted IP address that is allowed to relay. This happens when you use Xeams in Firewall/Hybrid mode and users connect to another server, such as MS Exchange, which then forwards the messages to Xeams. In that case, MS Exchange should be allowed to relay and should be whitelisted.

If Xeams is blocking outbound emails, some configuration needs to be modified. What is the reason for Xeams to block it?

Hello,
I believe that this behavior is a remnant of the initial configuration and has not been changed until now also by a misunderstanding of the role of antispam. 
We use "Spam Firewall" mode, receiving messages from another server, which is why they are being filtered. In fact, this has already been useful in account
compromise situations, where spam messages were successfully triggered, but I believe that the inconvenience of having legitimate quarantined messages does not
compensate for maintaining this configuration. I greatly appreciate your attention and wish you success.

Douglas,

I recommend contacting our support department via email/phone. I'd also recommend we do a remote screen-share session to confirm all the settings are correct on your end.

Please note that the Modes (Stand-alone, Hybrid, Firewall) do not affect outbound emails. They help Xeams steer inbound emails to the correct Inbox.
