On-Premise vs Outsourced Email Service

On-premise does not necessarily mean running an email server inside your LAN. Instead, it means giving you more control and privacy over your emails. In other words, running an email server on a rented virtual machine on the cloud is also considered on-premise. You will have complete control over its configuration, and no other company will have access to your private emails.

The following table describes a few differences between an on-premise and an outsourced email service.

Feature On-Premise Outsourced Service
Complete control You have full control over the environment Often runs on a shared environment with other organizations and therefore, you lose control.
Privacy No company will have access to your emails. Employees working for the service provider will have access to your emails.
Cost Significantly more cost effective Often costly, particularly if you have many users.
Outbound emails for devices Since you have full control, easily send outbound emails from devices and application servers that do not support OAuth. Click here for details. Some email service providers impose stringent rules on sending outbound emails, which cannot be met by legacy devices and application servers. For example, using OAuth 2.0
Limits No limits Many email providers put an upper limit on the number of outbound emails you can send.

Supported Operating Systems

  • Microsoft Windows - Server 2012 and above. Windows 7 and above for desktops
  • Linux - most distributions are supported, such as Ubuntu, CentOS, Redhat, Debian, OpenSUSE and others.
  • Mac
  • BSD
  • Unix

How it Works

Running a successful email system involves a few steps. The following bullets summarize them in a few words.

  • Register a domain with registrars like GoDaddy, Namecheap, Register.com, or many other similar registrars.
  • Install Xeams on a network with a static IP address. If you do not have a static IP, refer to this page.
  • Configure the DNS server, usually provided by the registrar with which you choose to register your domain. You must add an MX record pointing to the hostname/IP address.
  • Configure your domain(s) in Xeams and add users.
  • Configure email clients, such as Outlook or Mozilla Thunderbird, for sending and receiving emails.
